What we collect
We only collect what you give us, and what a website ordinarily records in order to function:
- Audit application details — your name, company name, website, email address, phone number, location, team size, and your answers about how enquiries currently reach and get handled by your business.
- Booking details — if you book a call, the information you provide to our scheduling provider, including your chosen time slot.
- Messages — anything you send us by email or phone.
- Basic technical data — the pages you visit on this site, and standard information your browser sends, such as approximate location, device type and referring page.
We do not knowingly collect information from children, and we don't ask for financial details through this website.
Why we use it
- To prepare for and hold your audit call.
- To reply to your enquiry and, where relevant, to propose a scope of work.
- To provide services you engage us for, and to support them afterwards.
- To understand how this website is used, so we can improve it.
- To meet our legal and accounting obligations.
Where the law requires a lawful basis, ours is your consent (when you submit a form), the performance of a contract (when you become a client), and our legitimate interest in operating and improving the business.
What we don't do
We do not sell your personal information. We do not sell or share your enquiry data with other roofing companies. We do not use your details for advertising unrelated to RoofFlow.
Who we share it with
We use third-party providers to run the business — for example a scheduling tool, email provider, hosting provider and analytics. They only process information on our instructions and only as far as their service requires. Our current providers are listed at [INSERT LIST OF PROVIDERS].
Some of these providers may store data outside your country. Where that happens, we rely on the transfer safeguards those providers put in place.
How long we keep it
Audit applications and enquiry correspondence are kept for as long as needed to respond and to keep a sensible business record, and then deleted. Client records are kept for the duration of the engagement and for the period our tax and legal obligations require.
Your rights
Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent. To exercise any of these, email info@roofflowsystem.com and we'll respond within the period the applicable law requires.
If you're in the UK or the EU and you're unhappy with how we've handled your information, you can complain to your national data protection authority.
Cookies and analytics
This website uses only what is needed to function, plus analytics to understand how pages are used. If you have engaged us to build a site or system for your own business, that project will have its own cookie and consent setup, agreed with you.

We take reasonable technical and organisational measures to protect the information we hold. No system is perfectly secure, and we don't claim otherwise.
