How it works

The path an enquiry should take.

Six stages between someone needing a roofer and your team standing on their roof. Most companies have three of them. RoofFlow builds the rest.

The journey

Enquiry to booked inspection.

Stage 01

The enquiry arrives

A call, a missed call, a form, a message. It arrives on your worst possible day, at the worst possible hour. The system has to catch it regardless.

Stage 02

It gets captured

Name, address, phone, roof type, urgency, and where it came from — written down once, automatically, in a place your team already looks.

Stage 03

It gets an immediate response

An acknowledgement within seconds, by email or text. It sets expectations, confirms you exist, and buys you the time to answer properly.

Stage 04

It gets organised

Status, owner, next action. Not a filing system — a working list where it's obvious what needs a call today and what's waiting on the customer.

Stage 05

It gets booked

The inspection or quote goes into a real slot, with a confirmation and reminders, without four phone calls to arrange it.

Stage 06

It stays visible

You can see what came in, what was answered, what was booked, and which source it came from. The month stops being a guess.

Working with us

Five steps, and what each one actually involves.

No long discovery phases. The point is to get a working system in front of real enquiries quickly, then improve it.

  1. 01

    RoofFlow Audit

45–60 minutes, plus a short application first

We go through how enquiries reach you today: which channels, who picks them up, what happens in the first hour, what happens on day three. We look at your site on a phone, submit your own forms, and see what a customer actually experiences.

You leave with a picture of your current process, whether or not you go further.

  2. 02

    Identify conversion gaps

Written back to you, in plain terms

We mark the points where opportunities are most likely being lost, and the manual work that a system should be doing instead. Then we propose the smallest build that fixes the biggest gaps.

If your current setup is fine, we say so. That happens.

  3. 03

    Build or improve the system

Scope depends entirely on the audit

We implement the agreed parts: the conversion-focused website or the improvements to your existing one, the inspection booking flow, the quote request, capture forms, automated email and SMS follow-up, missed-call recovery, lead organisation and tracking.

Tools you already use and like stay. We connect to them where we can.

  4. 04

    Launch and test

Before it touches a real customer

We run the full journey ourselves, on desktop and on a phone. Submit every form. Book a test inspection. Check the automatic replies arrive, the notifications reach the right person, and the enquiry appears where it should.

Then we walk your team through it, so it's used rather than ignored.

  5. 05

    Optimise

    Ongoing, with real numbers

Once real enquiries flow through, we look at where people stop: the form field that gets abandoned, the follow-up message that gets no reply, the booking step that loses people on mobile. Then we change those specific things.

Improvement based on your data, not on a template of best practice.

What we need from you

  • An hour for the audit call, and one person who knows how enquiries are handled today.
  • Access to the accounts we'll be working in — domain, website, inbox, calendar, phone system.
  • Your service area, service list and the hours you'll accept inspections in.
  • A decision on who owns new enquiries day to day.
  • Feedback on the first version. Usually one round, sometimes two.

How long it takes

It depends on scope, and we'll give you a real date after the audit rather than a marketing number now. As a guide:

  • Improving conversion and follow-up on an existing website: usually the shortest path.
  • Adding booking, capture and automated follow-up: a step longer, because it touches your calendar and phone.
  • A new conversion-focused website plus the full system: the longest, and the one we'll be most specific about before starting.

The slow part is rarely the build. It's decisions, access and content — which is why we ask for them early.

Find out where your enquiries are going.

The audit is the whole first step. Short application, then a call.
